Job Role: Legal Operations Specialist

Location: Pune

PQE: 5-7 years

ESSENTIAL DUTIES AND JOB FUNCTION:

Invoice Reviewing and Processing

  • Perform first-level invoice review to ensure compliance with Outside Counsel Billing Guidelines.
  • Monitor and analyze invoice rejections, submission accuracy, and timelinessAnswer law firm and vendor queries regarding invoices and payments
  • Act as primary contact for all legal billing inquiries . Review and respond to requests and questions in a timely manner
  • Monitor and reconcile invoices between e-billing and AP systems to ensure timely processing
  • Identify and execute opportunities for savings and efficiencies.

Matter Management

  • Ensure matter engagement letter compliance
  • Create and close matters
  • Act as primary contact for all matter management issues with law firms and vendors

Vendor Management

  • Manage law firm and vendor onboarding process in legal eBilling and accounts payable systems
  • Oversee timekeeper management, including new timekeeper requests and approvals reviews
  • Work with responsible attorneys and firms to remediate any issues related to staffing
  • Assist with monthly accrual and forecast process to ensure that the department’s spend aligns with the budget

EDUCATION AND EXPERIENCE:

  • 5-7 years increasing responsibilities working in a Legal Organization
  • Requires Bachelor’s degree. Post-graduate is desirable, particularly MBA
  • Requires experience with eBilling system (e.g., SimpleLegal, Legal Tracker, TeamConnect) matter management, databases, data mining and analytical software tools
  • Experienced in Microsoft Office products like Outlook, Excel, Word, PowerPoint
  • Experience with reporting tools a plus (e.g. Tableau, Business Objects, Cognos)

SKILLS:

  • Must have excellent written and verbal communications skills
  • Must have excellent analytical skills and comfort with multiple data sets, with the ability to draw conclusions and make informed recommendations
  • Must have advanced Excel skills (i.e., Formulas, Pivot Charts, Pivot Tables, Formatting, etc.)
  • Possess deep understanding of AP and Finance principles and ensuring compliance with legal billing guidelines
  • Understanding of common alternative fee arrangements (e.g., fixed fees, fee caps, volume discounts)
  • Intellectually curious with ability to process a great deal of information in a fast-paced environment; willing to take initiative
  • Demonstrate integrity to manage sensitive and confidential information
  • Ability to present complex information in an accurate and persuasive manner to all levels of management
  • Must have strong client service orientation and demonstrated high level of customer focus, independence and initiative
  • Must be a team player who can easily handle shifting priorities, multi-tasking in a deadline-oriented environment
  • Must have a customer service mentality, exceptional follow through skills, flexibility in embracing frequent change in all forms.
